What Lands in Your Portal

This is the structure of every diagnosis we submit. It answers the questions an authorizer asks before approving a claim: what failed, how we know, how old the unit is, whether it's covered, and what it costs.

  • Age decoded from the serial number
  • Test readings, not just a symptom
  • Coverage observations with photo evidence
  • Itemized parts and labor

Illustration only. Report fields can be matched to your portal's required format.

FAQ

Questions Vendor Teams Ask

What do you need from us to set us up as a vendor?

Send your vendor application or onboarding checklist. We return a signed W-9, a certificate of insurance naming your company as certificate holder, our Certificate of Formation, and a ZIP code coverage list in your template.

Can you work inside our vendor portal?

Yes. We accept dispatches and submit diagnoses, photos, estimates and invoices through client vendor portals. For programs without a portal, we work by email dispatch with the same report format.

Do you collect the homeowner's service fee?

When your program requires it, the service fee is collected at the visit and shown on the invoice for that work order, so reconciliation stays simple.

How are parts handled?

Common parts are ordered through local distributors in each metro, or through your parts program if you supply parts. Part numbers and ETAs are added to the work order, and the return visit is booked on the next route day for that corridor.

How do you document replacement or cash-out recommendations?

We include the unit's decoded age, the full repair cost, and confirmation when a part is no longer available, along with the model and capacity details needed for a like-kind replacement. The final decision is yours.

What happens if a repair fails again (a recall)?

Recalls on our repairs are scheduled with priority and handled according to the recall terms in your vendor agreement.

Which ZIP codes do you cover?

We cover 81 cities across 15 counties in Dallas–Fort Worth and Greater Houston. Send your ZIP list and we'll mark each one as core zone (daily dispatch), outer zone (scheduled route days) or not covered.

What work do you not perform?

HVAC, gas line installation, electrical wiring and plumbing beyond the appliance's own connections, which require separate Texas trade licenses, and commercial equipment. We document these and return the work order so it can be re-routed.
