For Warranty Claims

What's in Every Diagnostic Report

Claims teams need enough detail to approve or decline a claim without sending someone back out. Our reports are built around that.

Model, serial & age

Photo of the data tag, with the manufacture date decoded from the serial number.

Cause of failure

The failed part, how it was tested, and whether the failure looks like normal wear, misuse or a pre-existing condition.

Photos

The unit, the failed component, the installation and any damage, taken during the visit.

Itemized estimate

Part numbers, part cost and labor, or a replacement recommendation when repair isn't economical.

Homeowner sign-off

Signature confirming the visit took place and what was explained.

Portal submission

Uploaded to the client's vendor portal or emailed, targeting 24 hours after the visit.

Claim Outcomes

Every Visit Ends With a Clear Answer

Not every claim ends in a repair. Whatever the result, we document it so your claims team can act on it the same day.

Outcome
Repair A covered component failed and the unit is worth repairing. Failed part number, part and labor estimate, test results.
Parts on order The repair is approved but the part is not on the truck. Part numbers, supplier ETA, return visit booked on the corridor's next route day.
Replacement / cash-out Repair cost is close to the unit's value, the part is no longer available (NLA), or there is a sealed-system failure on an older unit. Repair cost vs. unit age, NLA confirmation, model and capacity for a like-kind replacement.
Not covered Signs of a pre-existing condition, improper installation, misuse, pest damage or cosmetic-only issues. Photos of the condition and a plain-language explanation of what was found.
No problem found The unit operates correctly during testing. Tests performed, readings taken, and homeowner guidance given.
Access or code issue The appliance can't be serviced safely as installed, or the repair needs work outside our trade. Photos of the installation and what needs to change before repair.
Texas Field Knowledge

What Texas Does to Appliances

Climate and water conditions in North Texas and on the Gulf Coast drive specific, repeatable failures. Our technicians check for them on every call, and we note them in the report so claims teams can tell wear apart from environment or installation.

Hard water, both metros

Much of DFW and Houston has moderately hard to hard water. Scale restricts dishwasher spray arms and coats heating elements, clogs ice maker fill valves, and blocks washer inlet screens, which shows up as "not filling" or "not cleaning" complaints.

On the report: scale photos, inlet screen condition, whether the failure is wear or water-related.

Summer heat

Long runs of 95°F+ days keep refrigerators and freezers running almost nonstop, which exposes weak compressors, start relays and condenser fans. Units placed in garages are pushed hardest. Dirty condenser coils make all of it worse.

On the report: location of the unit, coil condition, ambient temperature where relevant.

Gulf Coast humidity

In Greater Houston, humidity speeds up mold and odor in front-load washer door gaskets and makes lint clump in long dryer vent runs. Restricted vents are a common cause of no-heat, long dry time and overheating calls, and blown thermal fuses.

On the report: vent condition and airflow, gasket condition, whether a blown fuse was caused by venting.

Storms, outages & freezes

Spring storms, Gulf hurricane season and occasional hard freezes bring power surges and outages that damage electronic control boards, plus frozen or split water lines feeding refrigerators and washers.

On the report: board damage photos, water line condition, any signs of surge or freeze damage.

Seasonal Planning

The Texas Appliance Service Year

Claim mix shifts with the seasons. We plan technician capacity and common parts ahead of each one.

Dec – Feb

Winter

  • Frozen or split washer and ice maker lines after hard freezes
  • Holiday cooking keeps range and oven calls high into January
Mar – May

Spring

  • Severe-storm season brings surge-damaged control boards
  • Refrigeration calls start climbing as temperatures rise
Jun – Aug

Summer peak

  • Peak refrigeration season: not-cooling refrigerators, freezers and ice makers
  • Gulf hurricane season begins (June 1)
Sep – Nov

Fall

  • Heat carries refrigeration volume into September
  • Range, oven and dishwasher calls rise ahead of Thanksgiving
  • Hurricane season runs through November 30

Service types

  • Diagnostic visit: test, document and quote the repair.
  • Repair: install approved parts and test the unit after repair.
  • Return visit: complete the repair once parts arrive.
  • Replacement recommendation: documented when a unit can't be repaired economically or parts are unavailable.
